The "Days Since" column in the LRM Sherpa Tool helps Coaches track student engagement by displaying three key data points:

1️⃣ Days Since Last Login (Top Bar)
2️⃣ Days Since Last Coach Check-In (Middle Bar)
3️⃣ Days Since Last Coaching Session (Bottom Bar)


🟢 Green Bar: No action needed.
🟡 Yellow Bar: A Coaching action is recommended (e.g., after 7 days of inactivity).
🔴 Red Bar: Urgent Coaching action needed (e.g., past 7 days of inactivity).

💡 Note: These timeframes can be customized based on specific program needs.


Best Practices: Login (LOG) Data

🔹 Why it Matters: Login frequency is a strong engagement indicator—students who log in frequently are more likely to stay on track.
🔹 Coach's Role:

  • Monitor student logins and identify disengaged students early.

  • Follow program-specific guidelines on when and how to reach out if students haven't logged in.

  • Send personalized messages to encourage re-engagement.


Best Practices: Check-In (CHK) Data

A Coaching Check-In is counted when a Coach does any of the following:
Sends a Recommendation (e.g., App, Goal, Badge).
Posts a Comment or makes a Post on the Student Activity Stream.
Sends an Individual Message.

🔹 Why it Matters:

  • Frequent check-ins help students feel supported and engaged.

  • Notifications generated by these actions encourage students to log in and stay active.

  • Creates a "visible" Coach presence that fosters accountability.

🔹 Coach’s Role:

  • Programs should establish clear expectations for how often Coaches should check in (e.g., 2x per week).

  • Use different types of check-ins to ensure students receive consistent, personalized support.


Best Practices: Coaching Session (SESS) Data

A Coaching Session is recorded when a Coach posts to the Student Activity Stream by selecting the "Coaching Session Note" from the Activity Type dropdown.

🔹 What Counts as a Coaching Session?

  • Face-to-face meetings

  • Phone or video calls (Zoom, Teams Call, etc.)

  • Email exchanges

  • Any meaningful interaction that adds value to the student's learning experience

  • Personalized support through Coaching Sessions helps students stay on track and feel connected.

  • Regular sessions can address learning challenges, career planning, and personal goals.

  • Programs should define what qualifies as a Coaching Session and establish a cadence (e.g., at least 1x every 2 weeks).

🔹 Coach’s Role:

  • Ensure each Coaching Session is logged and visible in the Sherpa Tool.

  • Adapt the frequency of Coaching Sessions based on the student's needs and program guidelines.

  • Use insights from the LRM data to prioritize students needing extra support.
